From Two Hours of Digging to Reports That Feel Easy

Agency team member, Automate your Business

At an agency of 25 people, keeping track of who was doing what lived in Excel, updated by hand. And once a month came the social media report. To write it, he had to hunt for the latest updates across emails, threads and chats, piecing together who had done what and when. It could swallow an hour or two every time.

The agency's owner wanted one place to manage tasks and see how work was going. She could have asked Arthi to build it. Instead, she chose to invest in a person. She enrolled him in Automate your Business, Arthi's eight-week program, so that he would learn to build it himself.

He was starting from zero with this kind of work. He had never used connectors or automation, and he admitted he had held back. "I was scared to explore some of the tools". Like many people, he had been treating AI as one thing. "I was using the same model for everything".

The first session changed that picture. Arthi walked him through Claude and Codex, and showed him how connectors let AI reach into the tools he already used. By the end, he said it simply. "Now I have clarity on things"

The next session is where the payoff arrived. With his email connected, Claude could go through the threads and find the right updates for the monthly report. He described the before and after in a single breath.

"one hour to two hours going through the emails, different threads, different chats to find the right updated time. But through connecting the email, I found out that the chat itself, they find the right person"

Then came a moment that earned his trust. Claude caught a mistake in his own tracker. "kind of it worked like a two-factor"

They built skills step by step, so each part of his routine could be repeated without starting over, and the approach stuck. "even I think these are very useful, the creating skill for each step by step". They set up scheduled skills, created a project manager assistant project, and made a start on a bridge to WhatsApp. That same day, real work was waiting for him. "I already have to send some reports today. It's easy for me."

Not everything is automated yet. Assigning daily tasks is still done by hand, and it still takes time. But the program is still running, and the next pieces are taking shape. By a later session, his scheduled WhatsApp and email setup was working, and a first version of a live quality dashboard was up for a sample client. He was reusing what he had built instead of starting again. "I was using the same skill that I made last time. It was pretty useful for me."

And the monthly hunt through inboxes is over.

"That part works really well now, even though most of the searching... whatever the necessary data, whatever the dates that I required, everything... I'm getting it from Claude itself now. Even the report generation and everything."

For an owner who chose to train her team member rather than buy a ready-made fix, that is the result that matters most: a colleague who now knows how to build the system, and keeps on building it.
